2. Using Passive or Indirect Language Phrases like “Maybe we could consider…” or “I think perhaps…” dilute your authority. In decisive cultures (US, Northern Europe), this can read as uncertainty or lack of ownership.
Fix: Switch to direct, confident openers:
- “I recommend…”
- “The data shows…”
- “My view is…” Combine with the Rule of Three (from my previous column): Structure ideas in threes for rhythm and memorability — e.g., “This approach saves time, reduces risk, and increases buy-in.”
3. Over-Reliance on Fillers and Long Pauses “Um…”, “You know…”, “Like…”, or awkward silences make you sound less prepared — even if your content is strong. In fast-moving meetings, they invite interruptions.
Fix: Replace fillers with strategic pauses. Record yourself in a mock meeting:
- Pause deliberately after key points (shows control).
- Use bridging phrases: “Let me clarify…” or “To summarize…” Bonus: Slow your pace slightly — clarity trumps speed.
4. Jumping In Without Signposting or Recovery You interrupt (accidentally) or get interrupted mid-sentence. Without smooth recovery, you lose momentum and credibility.
Fix: Master polite interruption/recovery scripts:
- To jump in: “Sorry to interject, but this ties directly to…”
- If interrupted: “Great point — let me just finish my thought on X, then I’d love to hear your point.” Practice these in role-plays; they turn potential conflict into collaboration.
5. Focusing Only on Content, Ignoring Delivery Great ideas get lost if your tone is monotone, camera gaze is down, or body language is closed (arms crossed, looking away). Virtual meetings amplify this — people judge presence in seconds.
Fix: Optimize your setup and style:
- Look at the camera (not the screen) for eye contact.
- Smile subtly and nod to show engagement.
- Vary tone: Emphasize key words, raise pitch for questions, lower for authority. Quick win: Record a 1-minute self-intro and watch - adjust what feels flat.
