The Email Trick That Saves Offshore Teams Hours Every Week

If you manage an outsourced team, here is a small habit that saves everyone time: write your emails so the reader never has to ask, "Wait, what exactly do you need from me?"

A simple 3-step structure works wonders:
  1. What you need: State it in the first line. Do not bury it in paragraph three.
  2. By when: Give a specific date and time. Never use vague words like "soon."
  3. What "done" looks like: Describe the final product so there is no back-and-forth clarifying.
Compare these two examples:
Example of an Ineffective Email: "Hi team, I wanted to check in about the report situation and see where things stand, let me know your thoughts when you get a chance."
Example of an Effective Email: "Hi team, could you send the updated report by Thursday 5 PM Manila time? Please include the Q3 comparison this time."

The second version takes less time to write and less time to read. Your team can act on it immediately without wasting time asking for clarity. These small changes compound fast across a busy work week.
