Student No-Show Guide

What to do if your student doesn’t show up to your lesson? (student no-show)

If your student doesn’t join the lesson via the selected calling app at the confirmed lesson time - don’t panic! Here are a number of clear steps to follow.

no-show
  1. If the student doesn't show up at the agreed upon time...

Please double check if you are using the right calling app. Sometimes even regular students might book a lesson using a different app than before. If the student doesn’t join your room in the app, please wait 30 seconds to 1 minute, and then immediately move onto step 2.

  2. Send an alert (reminder) to the student via the request page

When you send an alert, an email will be automatically sent to the student’s registered email address informing them that the teacher is waiting. Sending an alert serves as proof that the tutor was waiting at the scheduled lesson time. If a student does not show up for the lesson, please send an alert (reminder) immediately.
Please rest assured that neither students nor tutors will face any penalties for sending or receiving alerts.

  3. Need personalized help instead?

If this is your first student-noshow or if you have any questions about how to proceed, you can also contact our Support staff via the chat in the bottom right corner of the Cafetalk website. They may be able to act as a mediator if there is any specific obstacle preventing you and your student to get in touch. Please have the request ID number, and the student's name ready when you contact us. Thank you!

  4. Cancel the lesson and consider charging a cancellation fee

If all else fails and there is absolutely no way to reach your student, you may of course cancel the lesson and charge a cancellation fee. However, keep in mind that you have to wait according to what you would like to charge: 50% of the lesson price = Wait 50% of the lesson time. 100% of the lesson price = Wait 100% of the lesson time.
If you do not wish to charge your student for the no-show, you do not have to wait, although we recommend to wait at least 10 minutes before cancelling the lesson. The correct cancellation option is "Cancellation caused by student (including no-shows)".

  5. (optional) Issue coupons

If your student later on contacts you and they had a very good reason for not showing up and you feel bad for possibly charging them full-price, don't worry. You can consider issuing them a coupon for the percentage you charged so they can take a make-up lesson. This step is obviously not mandatory, but highly recommended depending on the circumstances of the no-show.
