What to do if your student doesn't show up to your lesson? (student no-show)

If your student isn't online in Skype or doesn't join the lesson via Zoom at the confirmed lesson time - don't panic! Here are a number of clear steps to follow.

no-show
  1. a) If it's a Skype lesson:

Try contacting the student via Skype anyway.

    b) If it's a Zoom lesson:

If the student doesn't join your room, please wait 1 minute and then immediately move onto step 2.

  2. Send a priority alert to the student via the request page

If your student really isn't reacting to your efforts to reach them through Skype or Zoom, or if maybe you haven't been able to add them to your contacts because their Skype name was wrong or unclear, this is the next step to follow. By sending a priority alert to your student you will trigger a message to them via their registered email address or even their mobile phone, if they have a number registered.
Furthermore it also works as proof for us that you were properly there at the lesson time, and helps avoid misunderstandings in situations where for example the student's Skype suddenly stopped working, both sides have been experiencing trouble adding each other on Skype or the student is trying to access Zoom but having technical issues, etc. Don't wait too long to complete this step. We recommend sending this alert as soon as there is an issue with the lesson.

  3. Need personalized help instead?

If this is your first student-noshow or if you have any questions about how to proceed, you can also contact our Support staff via the chat in the bottom right corner of the Cafetalk website. They may be able to act as a mediator if there is any specific obstacle preventing you and your student to get in touch. Please have the request ID number, and the student's name ready when you contact us. Thank you!

  4. Cancel the lesson and consider charging a cancellation fee

If all else fails and there is absolutely no way to reach your student, you may of course cancel the lesson and charge a cancellation fee. However, keep in mind that you have to wait according to what you would like to charge: 50% of the lesson price = Wait 50% of the lesson time. 100% of the lesson price = Wait 100% of the lesson time.
If you do not wish to charge your student for the no-show, you do not have to wait, although we recommend to wait at least 10 minutes before cancelling the lesson. The correct cancellation option is "Cancellation caused by student (including no-shows)".

  5. (optional) Issue coupons

If your student later on contacts you and they had a very good reason for not showing up and you feel bad for possibly charging them full-price, don't worry. You can consider issuing them a coupon for the percentage you charged so they can take a make-up lesson. This step is obviously not mandatory, but highly recommended depending on the circumstances of the no-show.
